The Ultimate High School Reunion Planning Checklist
A great reunion is really just a series of small tasks done on time. Use this checklist as your committee's backbone. Timelines assume a 9–12 month runway; compress as needed.
9–12 months out
- Form your committee and assign roles.
- Set a target date and rough budget.
- Estimate attendance and ticket price.
- Start a classmate contact list.
6–9 months out
- Tour and book your venue.
- Reserve caterer, DJ/entertainment, and photographer.
- Launch your reunion website and send save-the-dates.
- Open RSVPs and ticket sales.
3–6 months out
- Push outreach hard on social media.
- Confirm the menu and any A/V needs.
- Plan décor, theme, and a slideshow or memory wall.
- Track RSVPs and follow up with maybes.
1 month out
- Confirm final headcount with the venue and caterer.
- Build the night-of timeline and brief vendors.
- Print name tags with senior photos.
- Send a final reminder and the countdown.
Week of & night-of
- Confirm arrival times with every vendor.
- Prepare a check-in table and signage.
- Assign a point person for issues (ideally not you).
- Take lots of photos — and actually enjoy it.
After the reunion
- Publish the photo gallery.
- Send a thank-you and highlights.
- Close out the budget and pay final invoices.
- Collect feedback for the next milestone.
